01. The Challenge

Infant Jesus NRI Service Centre needed a reliable, automated system to follow up with leads at the right time—without relying on manual reminders or inconsistent workflows. Their team used Google Sheets to track leads, but the manual process of checking follow-up dates, writing personalized messages, and updating the status often led to delays, missed opportunities, and irregular communication.

The challenge was to build a fully automated follow-up engine that could:

  • Read lead records from Google Sheets

  • Identify who needs follow-up on that day

  • Auto-generate a personalized email

  • Send the message automatically via Gmail

  • Update the sheet with timestamps and statuses

  • Run this entire process daily without human involvement

They wanted a hands-off solution that would operate like an extra team member—consistent, accurate, and fully automated.

02. The Solution

We built a custom n8n automation workflow that runs every day and handles the complete follow-up cycle automatically.

The workflow included these key functions:

  • Schedule Trigger: The system starts at a specific time each day.

  • Google Sheets Reader: Fetches all leads and their follow-up status.

  • JavaScript Logic: Filters only the leads that require follow-up today.

  • Dynamic Follow-Up Template: Automatically builds a personalized message using lead name, service type, and previous interaction notes.

  • Manual Edit Node (Optional): Lets the team adjust the message if needed.

  • Gmail Integration: Sends the email directly from the client’s Google Workspace account.

  • Sheet Updater: Writes back the follow-up date, message status, and logs the next follow-up cycle.

  • Secondary Check: Reads the sheet again to verify success.

  • Final Update: Marks every completed row with the correct status (e.g., “Follow-up Sent”, “Next Reminder Scheduled”).

The result is a clean, reliable, and error-proof workflow that handles everything from data processing to multi-step communication.

03 The Result

The automation instantly improved how the client manages leads and communication. With daily scheduled follow-ups running in the background, the team no longer spends hours manually checking rows, drafting emails, or updating sheets.
